Job Summary

ABC LLC is seeking a highly organized and professional Executive Secretary to provide comprehensive administrative support to senior executives. The successful candidate will manage complex schedules, coordinate high-level communications, and ensure the efficient operation of the executive office. Key Responsibilities

•  Manage and maintain executives’ calendars, including scheduling meetings, appointments, and travel arrangements while anticipating conflicts and prioritizing commitments.

•  Prepare, organize, and distribute correspondence, reports, presentations, and confidential documents with accuracy and timeliness.

•  Serve as the primary point of contact for internal and external stakeholders, handling inquiries, screening communications, and facilitating resolutions.

•  Coordinate executive meetings, including preparing agendas, taking minutes, and following up on action items.

•  Organize domestic and international travel itineraries, accommodations, and related logistics.

•  Maintain confidential files, records, and sensitive information with the utmost discretion.

•  Assist with special projects, event planning, and other administrative duties as assigned by executives.

•  Monitor and manage office supplies, equipment, and administrative budgets as needed.

•  Collaborate with other administrative staff to ensure seamless departmental operations.

Qualifications and Requirements

•  Bachelor’s degree in Business Administration, Communications, or a related field (preferred).

•  Minimum of 5 years of experience as an Executive Secretary, Administrative Assistant, or similar role supporting C-level executives.

•  Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant productivity tools.

•  Strong command of written and spoken English, with excellent grammar, proofreading, and editing skills.

•  Demonstrated ability to handle multiple priorities and work effectively under pressure.

•  High level of integrity, professionalism, and confidentiality.

•  Experience in a corporate environment, preferably within a relevant industry sector.
